The Provincial Election Commissioner, Khyber Pakhtunkhwa is inviting electronic tenders through the EPADS (Electronic Pakistan Acquisition & Disposal System) from registered firms or companies. The tenders are for the supply of IT equipment and machinery items to the Office of Provincial Election Commissioner in Peshawar and its field offices across the province of Khyber Pakhtunkhwa. Below are the details of the required items:

Key Instructions for Bidders:

1. Tender Submission:
   Bidders must submit their tenders through EPADS no later than 11:00 AM on 11th April 2025. The bids will be opened at 11:30 AM on the same day in the presence of the Tender Committee and any bidders who may be present. Faxed or emailed bids will not be accepted.

2. Tender Documents:
   Interested bidders may obtain the tender documents with detailed terms and conditions from the Office of the Provincial Election Commissioner on Shami Road, Peshawar by submitting a written request and a non-refundable fee of Rs. 500/-. These documents can be collected on working days until 11:00 AM on 11th April 2025.

3. Bidder Requirements:

   • The firm should have a minimum of 5 years' experience in the relevant field.

   • The bidder should submit an authorized OEM Partner/Dealer certificate and preferably hold ISO certification.

   • The bidder must also submit a certificate confirming they have never been blacklisted by any federal or provincial department in Pakistan.

   • The company should have a local support office either in Peshawar or other major cities in Pakistan, and must offer a local warranty for the items.

4. Bid Security:
   A bid security amounting to 5% of the total bid value for each item must be provided in the form of a bank draft or pay order issued by a scheduled bank in Pakistan. The bid security must be submitted physically or by post to the office of the Provincial Election Commissioner before the tender deadline.

5. Price Quotation:
   Prices should be quoted in Pakistani Rupees, both in figures and words. The prices should be final, firm, and unambiguous. Any corrections or alterations may lead to disqualification.

6. Performance Guarantee:
   Successful bidders will need to submit a performance guarantee amounting to 5% of the total value of the items in the form of a bank draft, pay order, or bank guarantee issued by a scheduled bank in Pakistan. This will be retained for one year.

7. Delivery and Installation:
   The successful bidder will complete the supply, delivery, and installation of all items within 30 days from the date of the agreement.

8. Right to Reject:
   The Procuring Agency reserves the right to reject any or all tenders in accordance with Rule-33(1) of PPRA Rules 2004.
